CLAIMX LLC, doing business as ClaimX ("ClaimX," "we," "us," or "our"), provides property-insurance claim documentation software. This Privacy Policy explains what information we collect, where it comes from, how we use it, who we disclose it to, how long we keep it, and the rights you have.
This Policy covers the ClaimX web workspace and the ClaimX Field mobile application (together, the "Services").
ClaimX is licensed to organizations — adjusting firms, contractors, and carriers — under a written agreement. We refer to that organization as the Customer. There is no self-service signup; access is granted by a Customer to its Authorized Users. If you use the Services, an organization authorized you and decides what claim information enters the system.
The Policy distinguishes two categories, because our role differs for each:
Photographs, scans, and recordings of a property may incidentally capture people, personal possessions, and details beyond the damage itself. Authorized Users are instructed to capture only what the claim requires.
We do not collect location information. ClaimX Field does not request access to device location, and a loss address is entered by the Authorized User rather than derived from the device.
We use Account Information to authenticate you, enforce the permissions your Customer assigns, provide support, send transactional messages, secure the Services, and meet our legal obligations.
We use Claim Information solely to provide the Services to the Customer: to store and organize evidence, apply the rules the Customer has authored, produce estimates and documents, synchronize a mobile device with the Customer's environment, and maintain an audit record.
We do not use Claim Information to train machine-learning models. We do not use any information for advertising.
We do not sell personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined by California law.
ClaimX Field requests the following permissions, each at the point the corresponding feature is first used. Each may be declined; declining disables only that feature.

Voice transcription is performed on your device. Recordings are not sent to a third-party transcription service.
ClaimX Field contains no third-party analytics, advertising, attribution, or crash-reporting software, and does not track you across other companies' applications or websites.
A complete inspection can be captured with no network connectivity. Evidence is stored on the device, protected by the operating system's file encryption and your device passcode, and is uploaded to ClaimX’s servers over an encrypted connection when authorized connectivity is available.
Account Information is retained while the account is active and for 365 days afterward, then deleted or de-identified.
Claim Information is retained according to the Customer's configuration and its agreement with us. Because the Customer determines retention, requests concerning a specific claim file should be directed to the Customer.
Audit records are immutable by design. ClaimX maintains a claim audit ledger built so that entries cannot be altered or erased once written, including by us. Where a Customer enables immutable external retention, ledger entries are written to storage under a compliance-mode retention lock with a default period of ten years. During that period those records cannot be deleted by the Customer, by us, or by our hosting provider. Requests to delete information are honored except where a record is subject to that retention lock or must be kept by law.
You may review and correct your own Account Information in the Services, adjust notification preferences, and decline or revoke any device permission through your device settings.
To exercise a right concerning your Account Information, contact us using the details in Section 13. We verify requests against our account records and respond within the period the law requires. An authorized agent may submit a request with your written permission.
To exercise a right concerning a claim file, contact the organization that handled the claim. As a service provider, we assist that organization in responding but cannot act on Claim Information without its instruction.
California residents have the right to know the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of recipients; to request correction of inaccurate personal information; to request deletion; to opt out of the sale or sharing of personal information; to limit the use and disclosure of sensitive personal information; and not to be discriminated against for exercising these rights.
The categories we collect are described in Section 2, the sources in Section 3, the purposes in Section 4, and the recipients in Section 5. We do not sell or share personal information for cross-context behavioral advertising, so no opt-out is required. We do not use personal information for automated decision-making or profiling that produces legal or similarly significant effects.
Residents of other states with comprehensive privacy laws have comparable rights of access, correction, deletion, and portability, and may appeal a denied request. Submit requests as described in Section 13; we apply the same process to all such requests.
No system is completely secure and we do not represent otherwise. Report a suspected vulnerability to support@getclaimx.com.
The Services are professional tools, are not directed to children, and we do not knowingly collect personal information from anyone under 16. A property photograph may incidentally include a minor; such content is Claim Information under the Customer's control.
We will post any change on this page and update the Effective Date above. For material changes we will notify Customers at least 30 days in advance by email.
